TENDER COORDINATOR
SUNBURY
SALARY £23,000 to £28,000
About the role:
Our client is looking for a Tender Coordinator who will be a central part of their small service team. You will be the main point of contact, this will include managing existing and outbound lead generation for new business. You will manage the administration process and work alongside your colleagues.
Duties:
• Distributor Sales Support
o Manage and maintain centralised resources such as technical specifications and product information (SharePoint), keeping data up to and liaising with different stakeholders such as product managers, R&D and sales.
o Manage inbound distributor sales calls and website enquiries
o Work alongside Sales Manager and marketing on sales campaigns
o Contact potential or existing distributors to follow up or inform them about a product or service
o Answer questions about products or the company
o Direct prospects to the field sales team when needed
o Enter and update customer information in the Salesforce
o Prepare sales forecasts for distributor sales each month
• Tender Support
o Manage and update tender portals
o Collates and checks documentation within the tendering and contract process
o Supporting the Project Manager with the management and delivery of time-bound strategic and often multi-modal led tenders and proposals.
o Possessing and having the ability to work independently and to manage a varied workload, as well as acting in a supportive capacity for the team
o Supporting the drafting of compelling tender submissions and proposals, creating high quality and well-written method statements and other related information, within defined timeframes.
o Assists in the preparation of Request for Proposals (RFPs / RFT) and other tender documents
o Obtain feedback when unsuccessful
• Office support, when required:
o Manage inbound phone line answer and field incoming telephone calls in a prompt, courteous manner directing them to the appropriate personnel, taking clear messages.
o Field incoming emails from generic inbox and taking action and/or directing them as appropriate and e-filing when actioned.
• Maintain good relationships with customers, distributors, suppliers and internal staff
• Comply with the terms of the company handbook, employment contract and NDA
Requirements:
• Previous sales administration and/or tender coordinator experience is preferred
• Previous experience of tender alert services and portals
• An understanding of CRM Systems, ideally Salesforce, in conjunction with the pre sales/sales process. Familiarity with sales and how to structure and work with sales funnel
• Good IT skills and proficiency in MS Office (MS SharePoint, MS Excel and MS PowerPoint, in particular) and some knowledge/experience of document management and organisation
• Excellent time management skills and the ability to prioritize work
• High level of accuracy in checking & processing information with attention to detail
• Strong organizational and project management skills with the ability to multitask, prioritize, manage time effectively and take instructions from multiple different sources
• Able to work on own initiative, make effective decisions and also work as part of a team
• A positive flexible attitude
